Pre-booking Information
before you come and stay with us!
Prior to Arrival
The Hirer must phone the Kaitarehu – the Outdoor Centre Coordinator 3 – 4 days before the date of arrival to let them know of the time of arrival on site so they can be ready for the pre-take-over check ahead of the main party. The phone contact is (07) 362 7092.
The Kaitarehu – Outdoor Centre Coordinator is the main point of contact whilst staying at the facility unless otherwise stated.
Upon Arrival at Site
We strongly advise that the Hirer arrives at the facility, ahead of the main party at least 1 hour, where they will meet with the Kaitarehu – Outdoor Centre Coordinator of the facility.
By arriving earlier, the pre-take over inspection can be completed without any interruptions. The Kaitarehu – Outdoor Centre Coordinator will accompany the Hirer around the complex ticking off all items present on the check list as being in order and that the Hirer is happy to accept responsibility for the complex. Whilst this is being completed, arrangements will also be made with regards to an anticipated time for the final inspection to be completed again by the Hirer and Kaitarehu – Outdoor Centre Coordinator.
The Hirer is to continue to monitor the responsible and safe use of the facilities for the duration of the stay on site. During this time, it is also best to delegate responsibility to those completing the required cleaning and checking of equipment tasks which are to be checked off by the Hirer, in the second column on the check list provided once all has been completed to meet the standard requirements at initial pre-inspection.
Prior to leaving the Site
The final inspection is completed at the time agreed upon arrival by the Hirer and Kaitarehu – Outdoor Centre Coordinator. The third column is checked off during this time.
Of note here must be a preparedness to put right any aspect of the final clean up that is not up to the required reasonable standard. This is then signed off by both parties to confirm that the facility has been left in the state in which it was presented prior to arrival.
We have attached a copy of the check list for your information.
